Description

  • Ensure through cleanliness of areas of the home office.
  • Ensure all visitors to the HSE office are signed in, properly greeted and escorted in to the desk of the person being visited.
  • Develop and maintain an updated filing system for retrieval of legal documents, administrative records and reports.
  • Organize hotel bookings and travel arrangements for domestic and International travel by company staff and visitors when advised by the supervisor.
  • Coordinate the booking schedule of the company conference room for internal meetings and ensure that the room is properly maintained, and all equipment’s are in proper working order.
  • Arrange for booking of venue for HSE meetings and seminars outside the head office and for meals, transportation, refreshments etc. as required.
  • Arrange for food and refreshments for HSE board and subcommittee meetings.
  • Ensure proper storage and delivery of all incoming and outgoing mail.
  • Take minutes of meetings when advised by the supervisor and ensure that the approved minutes are circulated to all concerned as expeditiously as possible.
  • Help Administrative Manager to ensure effective operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories and safety equipment’s.
  • Support Regional Managers and Clinic Managers in facilitating the processing of licenses, certifications, etc. from the HQ level and maintain close contact.
  • Arrange & prepare petty cash advance requisition form as required and help reconciliation of expenses for any office expenditures.
  • As per the advice of the supervisor, maintain records of HSE Inventory Records Sheet for assets coming from closed USAID projects / NGOs and delivering to HSE Regional Offices and Clinics as/when required.
  • Maintain stock records of stationery, refreshment and cleaning items for HSE HQ and report back to the supervisor for necessary replenishment of all consumable items and office supplies.
  • Work with suppliers and verify receipt of supplies, arrange requisitioning of office supplies in consultation with the Administrative Manager following office procedures.
  • Under the supervision of the Administrative Officer, manage the contracting, maintenance and safety of all hired and company vehicles including those at the regional offices.
  • Arrange and monitor the implementation of all security measures at the home and regional offices and oversee clinic security protocols.
  • Carry out other assignments as advised by the supervisor.

Job Qualifications:

  • Minimum 5 years of experience in an administrative or operational role, preferably at the head office level of an organization with network operations
  • Bachelor’s degree required with good academic standing. Master’s preferred
  • Strong  attention  to  detail  and  ability  to  multi-task  given  a  high  volume  of

administrative requirements.

  • Excellent time management skills and ability to prioritize work.
  • Demonstrated ability to communicate clearly and concisely both in verbal and written Bangla and English.
  • Strong knowledge of MS Office applications.
  • Ability to work both independently and as part of a team.
  • Willingness to travel across Bangladesh
